Description: We are India (Assam) based looking to outsource our requirement of Data Entry Service. We are looking for archival of documents in to form of digital copy and duplicate hard copy. The duration of the contract is 2 years.
Scope:
1. Service Provider will be required to carry out digitization and duplication (in the form of a soft / digital copy and a duplicate hard copy) of report or similar pages at our premises in Assam.
2. Approximate of 100000 Pages. These pages would be in A4 size.
3. Deploy latest computer hardware & state-of-art technology and will arrange all the miscellaneous consumable/ stationary items like printing paper, pen/pencil and other necessities to carry out the above mentioned work.
4. Since reports are of high importance to us, strict Quality measures should be adopted.
5. The work flow will involve following steps:
a. Scanning all the pages of the report as a TIFF file
b. Arranging all the scanned pages as it is in the report
c. Making a single PDF file comprising all the pages of each report
d. Capturing the data of every page/sheet in Excel sheets (files)
Thorough checking of data captured in Excel sheets with the original report
6. The period of Contract (i.e. 2 years) is inclusive of national holidays, Sundays, bad weather days, experimental work days and production loss due to equipment failure or any other reasons under Service Provider's control.
7. We reserve the option of awarding up to 50% of extension both in terms of time and volume for the work of making soft copy of reports on mutually agreed rates which should not be higher than the original contract rate.
8. Deliverables:
a. Excel file(s) of the report copied in CD/DVD
b. PDF file(s) of the report copied in CD/DVD
c. Hard copy of the reports by printing the pertaining PDF files and book binding of the same with proper hard cover and proper labeling
This is an on shore and off site tender. The EMD is 24000 INR. Interested service providers are requested to contact no later than June, 1, 2010 by courier, post. Service providers may have to visit our premises for meetings or briefings. Please refer the attachment for more details.
